Suvidha AI Labs Private Limited (“Suvidha AI Labs”, “we”, “us”, “our”) operates this website and provides AI-powered business software (our “Products”) and AI consultancy services (advertising, ad creation, and website development). This Privacy Policy explains what information we collect, how we use it, and your rights. By using our website or services, you agree to this policy.
a. From website visitors: name, email, phone number, and message when you contact us or request a demo; and basic technical/analytics data (IP address, browser, pages visited) via cookies.
b. From our customers (businesses using our Products): account and business details — shop/business name, owner name, contact number, email, GST number, address, and login credentials.
c. Business data you enter into our Products: to run your business in our software, you and your staff enter data such as inventory, sales, invoices, expenses, and details of your customers, suppliers, and staff (names, phone numbers, addresses, GST numbers, credit/“udhaar” balances). For this data, you are the owner/data fiduciary and we act as your data processor — we process it only to provide the service to you.
d. Documents and media: invoices, bills, registers, or photos you upload for automatic reading (OCR).
Our Products use artificial intelligence to read documents (OCR), power the in-app assistant, and provide voice features. To do this, the relevant text, images, or audio may be processed by trusted third-party AI service providers. AI outputs are assistive and may contain errors — important figures and actions should always be verified by a human before use.
We do not sell your data. We share information only with service providers who help us run the service, under confidentiality obligations, including: cloud hosting and database providers; AI/LLM and voice providers; WhatsApp/Meta (for messaging); payment and GST-compliance providers (where you use those features); and error-monitoring tools. We may also disclose information where required by law.
We use reasonable technical and organisational measures — encryption in transit, access controls, tenant isolation, and audit logging — to protect your data. No system is completely secure, but we work continuously to safeguard it.
We retain data for as long as your account is active and as required to provide the service or meet legal obligations. On account closure, data is deleted or anonymised within a reasonable period, except where retention is legally required.
You have the right to access, correct, and request deletion of your personal data, to withdraw consent, and to raise a grievance. To exercise these rights, contact our Grievance Officer (below). Where we process data on behalf of a business customer, requests from that business’s customers should be directed to that business.
